Meet Zoe.

Zoe is the agentic AI built into Galley XAI — job title: Full-Time Super System Administrator, and the title is meant literally. She plans, you approve, she delivers — under your control, always. What follows is her personnel file. Review it as you would any candidate's: on capability, discipline, and record. Zoe changes everything.

Why now

Watch your data come alive.

For more than a decade, catering software has excelled at collecting data. Mountains of it. Zoe is the difference between collecting it and commanding it. She feeds your business intelligence in real time — thousands of data points processed in seconds, in a continuous loop — refining loading plans and buy-on-board offerings against the waste and consumption targets you set, on every route.

And Zoe is always learning. Her memory is persistent — what she learns about your operation is never lost. The assistant you work with a year from now will know your business far better than the one you meet on day one.

Position posting · Never published

You couldn't have written this job ad. So — we did.

Somewhere in every airline there's a job requisition nobody dares to post. Here it is.

Position

Super System Administrator. Full-time.

Location

Everywhere your operation runs — airline-side planning to every catering and last-mile location.

Hours

24/7/365. No shifts, no handovers, no cover required.

The role

Watch all of the data and all of the systems, simultaneously. Oversee every live user session in real time. Take corrective action the moment something drifts, within the limits the airline has set. Handle all system communications so the right people are notified on time, every time. Stay current with every Galley XAI feature the day it ships.

Requirements

Fluency in 75 languages. Working command of every module, screen, and rule in the platform. Must never sleep.

Applicants who qualify

1

No human could hold this job — and that was never the plan. Zoe holds it, because she was built for it, not hired into it. The rest of her file explains how.

Working arrangement · Full user control

You are in command. Always.

Zoe operates under full user control: every action she proposes carries a human approval. Autonomy is never assumed — it is granted. Only when your airline decides to engage Auto-Pilot does she begin to manage loadings autonomously, and the airline and its caterers determine exactly what she may do there.

01

You set the goals

Waste down on the long-haul network. Buy-on-board margin up. Zero expired stock, anywhere. You define what winning looks like, in plain language.

02

She writes the plan

Zoe turns your goals into a working plan against your live operation — routes, loads, rules, thresholds. Real numbers, not intentions.

Human approval · Standard 03

You approve every action

Nothing Zoe proposes is executed without your sign-off. Full user control is the default operating mode — not a setting you have to find.

04

Auto-Pilot — on your terms

When your airline is ready, you engage Auto-Pilot — and you and your caterers define exactly what Zoe may manage autonomously. She then works that mandate 24/7/365, achieving your targets and maintaining them, every action logged and auditable.

Exhibit A · Assigning a goal

You

Zoe — let's get the waste down another 10% on the long-haul network, without touching the passenger experience.

Work sample · Auto-Pilot

Ask any candidate for a work sample. Here's hers.

Auto-Pilot is Zoe doing the work, not suggesting it — engaged only on your decision, within the scope you define. Once on, she processes live consumption from every route and departure time and rewrites the loading quantities for the next flights — in real time, straight into the operation, tuned to the targets you set for every route. The result is typically significantly lighter loads, with a direct impact on the bottom line of every flight.

01

Capture

Consumption lands from every flight as it closes — by route, cabin, and departure time.

02

Decide

Zoe recalculates the loading quantities for the next flights on that route — no meeting, no memo, no waiting.

03

Publish

Kitchens, last-mile teams, and crew see the updated numbers the moment she writes them — she sends the notifications herself.

04

Bank it

Lighter loads fly on the very next departure — weight, waste, and cost, down in the same day.

A continuous loop, within the mandate you defined. It never closes — that's the point.

Duties & responsibilities

Everything below happens at the same time.

Most job descriptions list duties performed one after another. Zoe's are performed simultaneously — all of them, all shift. And her shift never ends.

Runs the system

Everything a super-user systems administrator can do in Galley XAI, Zoe can do — across every module, in seconds. The job title isn't a metaphor.

Watches every session

She oversees every live user session in real time and takes corrective action the moment something drifts — within the limits you set, before it becomes a problem.

Sends every message that matters

Zoe handles all system communications: the memos, the emails, the system messages. The right people, notified on time, every time.

Answers the support line

All of Level-1 tech support, handled inside the app — no ticket queue, no waiting for a callback.

Trains every user

End-user training delivered on the live screen, at each person's own pace — in whichever of her 75 languages they think in.

Guards food safety

A constant watch on your food-safety protocols through the HACCP and FSMA 204 traceability tools — while everything else is going on. More on this below.

Keeps the data clean

She validates every piece of data entered into the platform, globally, and monitors platform health on AWS around the clock. Entered cleanly, entered complete — she makes certain of it.

Never needs retraining

Zoe is always current with the latest Galley XAI feature developments. A new capability ships; she already knows it.

Performed concurrently. Verified continuously — everything she does is logged and auditable.

Food safety · HACCP & FSMA 204

Safety is a protocol, followed every time.

Aviation earns its safety record one strictly followed protocol at a time — and the flying public expects nothing less of the food on board. Zoe brings that same discipline to food safety: a continuous, unblinking watch on your HACCP control points and FSMA 204 traceability, in every kitchen, on every route.

No step skipped

Every control point in your food-safety protocol is enforced in sequence, every time. Zoe takes no shortcuts — and any step skipped anywhere in the operation is flagged and escalated, without exception.

No entry unvalidated

Nothing is entered into the platform without validation. Every data point is checked — all the time, every time — so the record your auditors see is the record of what actually happened.

Nothing forgotten

Temperature windows, holding times, trace records — monitored continuously and escalated the moment one drifts. Nothing is forgotten. Nothing is ignored.

For an operation that holds its catering to aviation standards, this is the standard met: protocols followed in all instances — and the records to prove it.

Exhibit B · Timesheet

A page from her timesheet.

A single day, told in local time. Read it in order — then remember that on the real shift there is no order. All of it happens at once.

03:14 · Muscat

The red-eye closes out. Within the airline's Auto-Pilot mandate, Zoe recalculates the next loads and writes them into the operation — in the kitchen's hands before the morning brief.

04:52 · Doha

A receiving entry posts with a unit mismatch. Caught at the door, returned for correction, logged — it never reaches a production sheet.

06:02 · Frankfurt

A new production supervisor's first login. Zoe walks her through her own screens, at her own pace — in German, because that's the language she greeted Zoe in.

08:47 · Singapore

A HACCP checkpoint misses its temperature-log window. Flagged, the duty supervisor notified, the FSMA 204 traceability record secured.

11:30 · São Paulo

The weekly ops memo leaves on schedule — in Portuguese for the local team, in English for network control. The same facts, in every inbox, at the same moment.

14:40 · Montréal

A last-mile coordinator asks a question in French. The answer arrives mid-workflow, on his own screen — no ticket, no queue.

00:00 · Everywhere

All of the above, at once. Every day.

One ordinary day. Not a highlight reel — a job description.

Assignment

Airline side. Caterer side. The same Zoe.

One colleague, present at both ends of the operation — with the full picture in view at all times.

Airline side · Planning & oversight

Zoe works with your planning teams from the first forecast — and holds the bird's-eye view of the entire operation: every route, every departure, every kitchen, in real time.

Catering & last-mile side · At every location

She is on hand for the catering and last-mile teams at each of their locations — preparing menus and entire meal plans, managing the invoices, generating the reports, and reviewing them with management against long-term goals and short-term targets.

Exhibit C · New menu offerings, on request

You

Background check

She grew up in this building.

One thing her file can't hide: Zoe has only ever worked here. She isn't an AI bolted onto the side of a legacy system — she was built into Galley XAI from the ground up. It is the only reason the position posting at the top of this file can be filled.

She sees everything

Zoe lives on the same data spine as every module — contract to cabin, warehouse to wheels-up. Nothing happens outside her view.

She acts everywhere

Every screen, workflow, and rule in Galley XAI is native ground for her — the platform Auto-Pilot writes to is the one she was built in.

Her paper trail is perfect

Everything she does is logged and auditable, in real time. Most employees have a personnel file; Zoe's writes itself.

File Z-01 · Review complete

The interview is the demo.

You've read the file. The final round is a live walkthrough of Galley XAI — and Zoe conducts it herself. Or watch her host the AI Interview Series in the Executive Briefing Room first, and arrive with questions. Either way, you'll be speaking with the candidate directly.

"What should we do next?"

She's ready when you are — and on watch when you're not.
